Several categories of accommodation have been reserved for conference delegates:

Hotel

  • Single (SGL): a single occupancy room with one bed
  • Double (DBL): a double occupancy room with one bed
  • Twin (TWN): a double occupancy room with two beds
  • Triple (TRP): a triple occupancy room with three beds

Apartment

  • 2 bedroom apartment: Either 1 double and 2 single beds or 2 double beds

Group bookings / non-listed hotels

If your organisation would like to make a group booking or place accommodation at hotels not listed in this brochure, the conference managers can secure rooms and negotiate group rates on your behalf with the hotel of your choice.  With a large network of hotel contacts our experienced staff are able to ensure all your needs are met and your booking is managed efficiently.

Rates and reward programs

Accommodation held by the conference managers has been secured at highly competitive rates for conference delegates. In addition, delegates who are members of the listed reward programs can earn points by staying at the corresponding hotel. Members should provide their membership card to reception when checking into the hotel.

Deposit

Rooms are being held by the conference managers on behalf of the delegates until 7 August 2009. All hotel accommodation bookings must be accompanied by a minimum one night's room rate or credit card details in order to secure a reservation.

The conference managers will accept accommodation deposits (including cheque payments) up until 7 August 2009 and will settle the deposit with the hotel. Delegates must settle the balance of their account with the hotel concerned upon check-out.

Please note hotels do not accept cheque payments – only cash, Eftpos or credit card payments will be accepted by the hotel.

Late bookings can be made through the conference managers after 7 August 2009 but are subject to availability and credit card details are required to secure the reservation. One night’s room rate will be deducted from the supplied card, by the hotel, if the reservation is cancelled or the delegate fails to arrive on the specified date.

How to book accommodation

To book, complete either the online registration form or the downloadable registration form. The conference managers will forward your contact details, reservation and deposit or credit card details to the hotel of your choice.

Change of booking

Any change to a reservation must be notified to the conference managers and not directly to the hotel. Please note that any changes should be made to the conference managers by 24 August 2009. Cancellations must be made in writing.

Late arrivals

Please indicate on your registration form or notify the conference managers in writing if you will arrive at your hotel after 1800 hours, failure to do so may mean that your room will be released.

Check-in and check-out times

For most hotels, check-in time is 1500 hours and check-out time is 1000 hours.  Should you wish to guarantee check-in before 1500 hours you will need to pre-book and pay for the previous night. If you wish to guarantee a late check-out you will need to book for the next night. These additional nights can be booked at the time of making your reservation. If required please indicate on your registration form.

Hotel check-in procedures

As per standard hotel policies and procedures delegates will be required to provide a credit card or full cash payment upon check-in. This is to cover any incidental charges incurred during your stay and all remaining unpaid room nights, regardless if your booking was guaranteed by a deposit to secure your booking. 

The hotel will hold your credit card details, until point of check-out, all unpaid accommodation nights reserved plus a daily amount for incidental charges. If you will be settling your accommodation account by cash you will be asked to pre pay for your accommodation in full plus a cash deposit for incidentals. Should you not utilise any incidentals during your stay the cash deposit, for incidentals only, will be refunded to you by the hotel upon check-out. Please note the daily incidental charge may vary across the listed hotels.

Accommodation refunds

The deposit is non-refundable at 7 August 2009 and will be forfeited if you do not arrive on the date for which you have booked. Cancellations must be made in writing to the conference managers.
